A text back for the call you missed
We build and test a missed-call text-back workflow around your number, consent rules, routing and follow-up by a person.
“I run a small home services business and it’s so hard to keep up with calls while out on the job.”
A question owners ask.
The missed-call problem
Calls slip when you are treating a patient, painting a room, driving between jobs, or helping the person already in front of you. Voicemail can collect a message, but it leaves the next move with the caller, and some callers ring another business because they need a quick answer about availability, location or booking.
A missed-call text-back workflow gives an eligible caller a visible next step. It does not assume the person is qualified or ready to book, but it does create a response path your staff can see and own.
A call comes inEvery branch follows rules you approve before launch
- If someone answersA normal call. Nothing is sent.
- If nobody answers and the caller is eligibleA short approved text goes out: who you are, that the call was missed, and how to reply or book. The system handles it
- If the call reaches voicemailBy default the text still goes out and the voicemail is kept. Your routing rules can hold it.The system handles it
- If the caller repliesThe reply lands in the conversation record and the right person is notified.A person takes over
- If the caller asks for someone, or the question is sensitiveA person takes the conversation over.A person takes over
- If the number is known spam, blocked, a rapid repeat, or opted outNothing is sent.Held back
Your existing business number
Your current business number can often remain the number customers call. Conditional forwarding may send unanswered, busy or after-hours calls into the workflow while answered calls continue through the existing phone setup. The carrier and phone configuration are checked first, because forwarding support, voicemail timing, caller identification and extensions all affect whether the caller’s number reaches the workflow correctly. Some setups need number porting, a new routing layer or a different number, and that decision is made after the call path is tested.
- Your existing numberCustomers keep calling the number they know
- Forwarding rulesUnanswered, busy and after-hours calls are forwarded; answered calls are not
- The workflowEligibility, the approved text, suppression, timing
- Your inboxThe reply, and the person who owns it
Consent, registration, and timing
An unanswered call does not create unlimited permission to send marketing messages. The text fits the approved purpose, identifies the business, respects the consent rules that apply, and carries the required opt-out language. Business messaging may require carrier registration, known as A2P, which affects delivery without guaranteeing that every carrier accepts every message. Suppression rules stop messages to people who opted out, and timing is tested because phone routing, voicemail delays and carrier events can create late or duplicate triggers.
What gets tested before launch
The workflow is tested with dummy contacts before it goes live. Each test has an expected result and a recorded outcome.
- A normal unanswered call
- A call answered by staff
- Repeat calls inside the suppression window
- Calls outside office hours
- Calls that reach voicemail
- An opt-out reply
- A failed or delayed message
- A reply that needs staff takeover
- A blocked, missing or malformed number
- Duplicate events from the phone provider
Where a launch involves patient information, it requires an approved privacy design, the written agreements the jurisdiction calls for, and the practice’s written authorization. The practice remains responsible for its own privacy assessment and clinical protocols.
What you receive
You receive the documented call path, eligibility rules, approved message set, suppression logic, routing instructions and human handoff process, with staff instructions that say where replies appear and who owns the next action. Monitoring records workflow errors and delivery events from the connected services, and reporting can include eligible missed calls, messages attempted, delivery status, replies, opt-outs and exceptions.
These events show whether the workflow ran. They do not prove that every caller was qualified or that every reply became a booking.
Its place in your growth system
Systems defines the response path, and Automation & AI reduces the manual work needed to run it.
Next step
Bring your business number, carrier information, office-hours rules, voicemail flow, and recent missed-call records if available. We will determine whether missed calls are the first leak worth fixing or whether a simpler routing change should come first.
What to fix first
Come with the project you already have in mind. Before we meet, we review your website, listings and other public-facing material. During the 30-minute session, you show us how the relevant part works today. We check whether the project addresses the real constraint and what it needs to connect to. You can hire us for one part.
Frequently asked questions
- Can missed-call text-back work with my current phone number?
- Yes, it can often work with your current number through conditional forwarding or an existing phone integration. The carrier, voicemail timing, extensions, and caller-identification behavior must be tested before that setup is confirmed.
- Does an unanswered call give me permission to send a text?
- No, an unanswered call does not provide unlimited permission to send text marketing. The approved message, purpose, identification, consent basis, registration, and opt-out handling must fit the applicable rules.
- How quickly should the automatic text be sent?
- The text should be sent only after the system can reliably identify an eligible missed call. The correct delay depends on ringing time, forwarding, voicemail, duplicate events, and office-hours rules, so timing is tested before launch.
- What happens when the same person calls more than once?
- Repeat calls are handled through a suppression window and duplicate-event rules. The caller should not receive the same automatic message after every rapid attempt, while a later call may qualify under the approved policy.
- Can my staff take over the text conversation?
- Yes, your staff can take over through the connected inbox or conversation record. The workflow assigns ownership and notifications so the caller reaches a person when the automatic response is no longer enough.
