One customer journey, from inquiry to return

We build your sales pipeline and customer journey in one CRM: calls, forms, quotes, booking, reminders, recall and review requests, on one customer record.

“Leads live in one place, calendars in another…”

A question owners ask.

One missed call

One inquiry carries the whole argument: where it goes, and where it stops.

Without a system

  2. First replyAcknowledged, in writingThe customer calls someone else here
  3. BookingHeld in the calendar
  4. ReminderBefore the appointment

A new inquiry should not disappear because you were with a patient, inside a customer’s home, or driving between jobs.

Your customer journey connects the moments from first contact to repeat customer. Calls, forms, calendars, reminders, follow-up, recall, and review requests work as one flow. You can see where each person is and what should happen next.

Owners describe the problem the same way: calls arrive on one phone, website forms land in an inbox, appointments sit in another calendar, and notes stay in a spreadsheet. A customer can receive no reply while every individual tool appears to be working.

Buying another CRM does not fix that. You need a defined process before software can carry it. We map where an inquiry enters, who owns the next action, when an automatic response is appropriate, and when a person must take over.

The sales pipeline, so you can see where every deal stands

What owners most want from a CRM is to know where a given customer stands, and what happens next. That is sales management, run on stages named for how your business sells, and it lives in the same record as the follow-up.

The system underneath

Each stage gets an owner and a next action before any software is configured.

Designed around the handoffs

We document each step, test it with dummy contacts, and your team approves it.

We build and test the approved workflows with dummy contacts before anything goes live.

Your team approves what customers receive. Voice agents stay administrative, handling booking, hours, directions, and messages. Escalation scripts and failure scenarios are tested before launch, with a human handoff available.

Healthcare privacy comes before launch

The design is approved, the agreements are written, and the clinic authorizes it.

Where a launch involves patient information, it requires an approved privacy design, the written agreements the jurisdiction calls for, and the practice’s written authorization. The practice remains responsible for its own privacy assessment and clinical protocols.

Your privacy officer approves the legal basis and the production workflow. The implementation includes a documentation pack.

How the engagement runs

The work runs in phases, through approval gates, until it stabilizes.

We start with the current journey. You show us the phone numbers, forms, calendars, inboxes, booking software, and handoffs your team uses now.

We identify the leaks and prescribe the first workflows. The implementation is built in phases and approved before launch. A stabilization period follows. Ongoing management covers monitoring, fault correction, whether messages get delivered, reporting, and a defined allowance for minor workflow changes.

If your current booking system already closes the leak, we will tell you.

What it produces

Calls, bookings, appointments and review requests are counted where the system can observe them.

You receive reporting on operational events the system can observe:

  • Eligible missed calls and text-back delivery
  • New inquiries acknowledged
  • Booking actions and recorded appointments
  • Reminder delivery, confirmations, and reschedule actions
  • Recall or reactivation messages sent and responses received
  • Review requests sent
  • Workflow errors, exceptions, and usage

These numbers show whether the process ran. They do not turn every contact into a qualified customer, and they do not assign revenue without a reliable record connecting the inquiry to the sale.

Where this fits in your growth system

This product serves three connected pillars of the MOSAIC Six: Systems defines the path from inquiry to booking, Automation & AI reduces the repetitive work along it, and Customer Continuity manages the steps that bring people back and turn completed work into reviews.

The handoffs matter. One missed call can become a lost booking, then a complaint about nobody answering, then a public review that weakens visibility.

What to fix first

Come with the project you already have in mind. Before we meet, we review your website, listings and other public-facing material. During the 30-minute session, you show us how the relevant part works today. We check whether the project addresses the real constraint and what it needs to connect to. You can hire us for one part.

Frequently asked questions

Do you set up the CRM, or do I bring my own?
Either. The process is designed first and the CRM is configured to carry it, so the stages, owners and triggers come from how your business sells rather than from a template. If you already run one, we work in it where it can do the job.
What should a CRM do?
It should show where each inquiry stands and assign the next action. Contact storage alone does not prevent missed follow-up.
How long does implementation take?
The schedule depends on the number of entry points, integrations, approvals, and privacy requirements. You receive a phased scope after the current journey is mapped.

Primarily serves the Systems, Automation & AI and Customer Continuity pillars of the MOSAIC Six.
